Tutoring Policies

Please review these policies before confirming tutoring services with Tutoring Solutions. They help us provide consistent support while respecting the time of our families and tutors.​

Payment and Billing

Families receive an invoice based on the tutoring format, session length, and number of scheduled sessions. Payment is required in advance. A tutoring schedule is not confirmed until payment has been received. If payment is not received by the invoice due date, the requested tutoring time may be released to another family. We do not provide complimentary consultations or trial sessions. The first tutoring session is a regular paid session.

Recurring Schedules

Tutoring is normally arranged on a recurring weekly schedule. The reserved day and time remain subject to the tutor's availability, school holidays, and any previously communicated schedule changes. Requests to change a recurring time must be submitted by email. We will try to accommodate changes, but another time or tutor cannot be guaranteed.

Cancellations and Missed Sessions

Families must provide at least 24 hours’ notice when canceling a session. Sessions canceled with sufficient notice may be rescheduled within 30 days, subject to tutor availability. Rescheduling is not guaranteed. Sessions canceled with less than 24 hours’ notice and missed sessions are charged in full and are not eligible for a make-up session or refund.

Tutor Cancellations or Changes

If a tutor must cancel, the session will be rescheduled or credited to the family’s account. Tutoring Solutions aims to provide continuity, but a specific tutor cannot be guaranteed. If a tutor becomes unavailable, we will review available alternatives and communicate the next steps by email.

Parent Communication

Email is the primary method of communication for inquiries, scheduling, invoices and progress updates. Phone and in-person consultations are not part of the standard matching or tutoring process. Families should contact Tutoring Solutions directly with scheduling, payment or service concerns. Additional meetings with parents, teachers or other professionals must be arranged in advance and may involve an additional fee.

Online and In-Home Expectations

For online sessions, students require a suitable device, a reliable internet connection, necessary learning materials, and a quiet place to work. If a session cannot proceed due to a family-side technical issue, the session may still be charged. For in-home sessions, families must provide a safe, appropriate, and distraction-reduced learning space. A parent, guardian, or designated responsible adult must remain accessible during the session. Pets should be secured when necessary, and tutors must be informed of relevant household or safety concerns.

Ending Tutoring Services

Families may end recurring tutoring by providing written notice by email before the next monthly invoice is issued. Payments already made reserve tutoring time for that billing period and are generally not refundable. Any eligible make-up sessions must be completed within the applicable 30-day period. Tutoring Solutions may pause or discontinue services because of unpaid invoices, repeated missed sessions, unsafe conditions, inappropriate conduct, or an inability to provide a suitable tutor. Tutoring is intended to support academic growth, but specific grades, test results, or timelines cannot be guaranteed.

Sibling Discount

Families with more than one child enrolled in one-to-one tutoring will receive a 10% discount on the regular tutoring fee for each additional sibling. Siblings must be actively enrolled during the same billing period. This discount does not apply to small-group tutoring and cannot be combined with other discounts or promotional offers.
